Responsibilities

1. Calendar Management:

  • Coordinate and schedule all meetings / conference calls
  • Managing reminder notices and minutes, etc.
  • Collection / Printing of materials prior to all calls
  • Coordination of Telepresence meetings (includes set up)
  • Coordination with Sr Level Executive calendars
  • Build strong partnership with internal support team 

2. Executive Support Tasks

  • Travel arrangements
  • Process travel vouchers
  • Time reporting / Payroll activities
  • Process invoices / expense reports 

3. Correspondence Management

  • Cover  Phone calls / ensure backup so phone is always answered
  • Take explicit message if Executive is unavailable / follow up with Executive on messages
  • Prepare Sr. Executive correspondence
  • Compile excel / word / PowerPoint documents as requested
  • Partner with Sr Level Executive Assistants to forward escalations to appropriate executive

4. General Executive Support

  • Includes miscellaneous tasks required by Executive
  • Clear, concise communication with direct report team
  • Continuous follow up on items requiring Executive Attention 

Qualifications

  • Must have 4+ years Sr. Executive Level Executive Assistance experience
  • Experience with Microsoft Office Suite including Outlook, Word, Excel, PowerPoint, and Access
  • Prior experience booking travel arrangements (flight, hotel, car).
  • Experience processing invoices, expenses, and time reporting.
  • Possess strong organization skills
  • Excellent written and verbal communication skills
