Responsibilities

  • Provides execution, filing, and follow-up of contracts as directed
  • Provides QC of executed contracts as directed
  • Verifies new customers as legal entity with secretary of state or national department offices  
  • Maintains hard copy and electronic files of contracts
  • Coordinates information between the legal department and outside departments as directed  
  • Maintains all documents and records relating to legal contracts for customers and vendors  
  • Prepares notice documentation regarding contracts for customers and vendors as directed
  • Composes and prepares correspondence and reports as directed
  • Creates and maintains contract database and spreadsheet files
  • Updates customer listing and notifies all departments as directed
  • Provides data entry into contract management system as needed
  • Assist with special projects on behalf of the Legal Department as directed
  • Provide Administrative Support to the Legal Department

Qualifications

  • 3+ years of experience in a related field
  • Demonstrated computer skills with MS Word, PowerPoint, Excel, Outlook, etc.
  • Demonstrated written and verbal communication skills, both in Portuguese and English
  • Demonstrated ability to prioritize and multitask in a fast-paced, dynamic environment.
  • Flexibility
  • Strong sense of confidentiality and urgency
  • Experience directly supporting a Legal firm, Corporate Legal department or internal Contracts Department
  • Additional written and verbal communication skills in Spanish (desirable)
