Senior Executive Assistant

Responsibilities

Responsibilities would include, but are not limited to the following:

  • Act as Senior Executive Assistant for a Executive Director  of Security Sales at Verizon Enterprise Solutions
  • Manages an extremely complex schedule that is constantly in motion involving many high level executives, internal and external stakeholders across all international time zones
  • Manages an extremely complex international travel itinerary
  • Screens phone calls, email, visitors and resolves routine and complex inquiries
  • Forward calls, including customer escalations, to department members based on established criteria
  • Prepares correspondence, memoranda, report, agendas, etc.
  • Handles processing of department supplier bills and expense vouchers
  • Ensure adequate phone coverage at all times
  • Manage time reporting and payroll related turnaround activities
  • Responsible for updating and maintaining headcount, organization charts, distribution lists, emergency contact lists
  • Order supplies, maintain personnel records, and perform other related duties as assigned

Qualifications

Qualifications:

  • Minimum 7+ years in an Senior Executive Assistant role supporting a Director or Vice President or higher within a F500 corporate environment
  • Bachelor’s Degree preferred
  • Must be extremely adept at coordinating international schedules and travel plans across many business units
  • Must have an outstanding degree of accuracy and attention to detail
  • Must have fluency in Outlook, Word, Excel and PowerPoint
  • Must be very adept at working independently without detailed instructions in a fast paced, deadline driven environment
  • Must be a confident and fact-driven decision maker
  • Requires someone who is a self-starter, positive, responsive, and reliable
  • Must be highly organized, detail oriented and have the ability to multitask as priorities may change daily
  • Excellent verbal, written, and interpersonal communication skills
  • Outstanding skills in the area of follow-up, organizing, planning
  • Must be able to maintain a high level of confidentiality. Use sound judgment and discretion when handling sensitive matters and ensure discreet handling of all business information
