What you’ll be doing...

You are organized, detailed oriented and thrive on resolving operational challenges that come your way. You will use your business knowledge and professionalism to support your team by coordinating and ensuring office efficiency for the EVP and Chief Marketing Officer.

  • Organizing and coordinating the operation of an office overseeing and managing the provisioning of supplies, equipment and services that enable the staff to perform their jobs effectively.
  • Establishing and communicating procedures used in day-to-day operations and make revisions as appropriate. This includes processing departmental expenses and limited budget oversight.
  • Providing leadership to Administrative Assistants in the CMO organization and set a plan with other members of the administrative staff to ensure constant coverage.
  • Preparing documents including customized reports, presentations, proposals and correspondence. Uses discretion with regard to formatting and layout.
  • Managing and maintaining a complex senior executive’s calendar with constant changing priorities, while maintaining sensitivity, including scheduling meetings and appointments without clearance on occasion.
  • Arranging travel and hotel accommodations as necessary.
  • Performing routine administrative functions such as responding to inquiries with standard letters or arranging meetings and conferences.
  • Screening telephone calls and visitors, ascertaining who can be redirected to subordinate managers or other offices. Providing information to callers, requiring detailed knowledge of client(s)’s area of responsibility and general knowledge of company policies, practices, and operations. Brings urgent issues for action to supervisor’s attention.
  • Gaining thorough knowledge of the Executive’s span of control, as well as, company policies and procedures.
  • Leading and/or participating in short-term projects that are relatively small in scope.
  • Developing processes for maintaining departmental records and trains other administrative personnel on procedures.
  • Coordinating office moves ensuring all technological needs of the client are met.
  • Determining and communicates timelines and activities to individuals involved in moves.
  • Collecting of items for CMO weekly updates.
  • Assisting team on project administration as needed.
  • Developing presentations as needed.
  • Providing onsite support for company events and meetings.
  • Safe guarding confidential information.
  • Based in Basking Ridge or NYC with flexibility to work hybrid.

What we’re looking for...

You'll need to have:

  • A bachelor's degree or one or equivalent experience.
  • Three or more years of administrative experience.
  • Project management experience.
  • Experience successfully supporting a senior executive.
  • Strong proficiency with Microsoft Office (Word, Powerpoint, Excel, etc.).
  • Based in Basking Ridge or NYC with flexibility to work hybrid.

  • Demonstrated organizational skills.
  • Ability to work well independently and under pressure.
