What you’ll be doing...

We’re looking for an Executive Assistant to support the SVP of Business Development and Strategic Initiatives (BDSI) of Verizon Business. This role is critical to driving the efficiency and culture of the entire BDSI team. In this position, you will be responsible for supporting the Senior Vice President, and will manage meetings, calendars, travel logistics and handling travel and business expenses. You’ll also be coordinating and overseeing office management duties for certain offices and the provisioning of supplies, equipment and services that enable the staff to perform their jobs effectively. Additionally, you’ll provide logistics support for executive meetings and BDSI events which includes but is not limited to: travel/logistics, budget management, scheduling, room setup and preparation, meeting material preparation, coordination of transportation, catering and other details.

  • Manage and maintain executive schedules for the SVP, including scheduling travel and conferences, making appointments, and making changes to appointments and maintaining sensitivity to changing priorities.
  • Ensure leadership is prepared for upcoming meetings by gathering materials necessary for each meeting (e.g., meeting agendas, pre-reads, briefs, presentations, location, aligning with appropriate team members).
  • Ability to prioritize competing priorities and/or deadlines; flexibility to work within different time zone
  • Coordinate with other Executive Assistants to resolve executive scheduling conflicts and ensure constant coverage.
  • Partner with Chief of Staff and EBC teams to ensure continuity across the business.
  • Manage cross-organizational calendars, as applicable.
  • Event planning, travel and logistics coordination for business unit and team meetings and other events.
  • Manage and track volunteer hours across BDSI and share volunteer activities of interest and assist with planning/coordinating BDSI -wide volunteer events in coordination
  • Assist in the identification, sourcing and ordering of swag and branded materials for events, new employees, partners, etc.
  • Oversee administrative policies within the organization and, as applicable, within the office; recommending changes as appropriate.
  • Support HR function by assisting with interview scheduling, employee onboarding and offboarding, etc. Assist in maintaining employee/onboarding documents. Processing employee moves in the HRIS system when necessary.
  • Assist with ordering of company assets and returns of assets for the greater team.
  • Managing the BDSI leadership team’s corporate expense reports for travel and other business unit expenses in accordance with company policies and procedures. Work with your leaders, finance and operations partners.
  • Coordinate across the global team leadership and partner organizations to ensure meetings and communications are planned and actioned quickly and effectively while being cost conscious.
  • Manage team recognition budgets and programs
  • Provide office management support and/or work-from-home administrative support, as applicable, such as office supplies and other related needs.
  • Update and maintain team Google Drive information, list serves and permissions and other administration of team drives and files.
  • Update and maintain team slack channels
  • Help ensure recognition budgets are maintained
  • Complete special projects as assigned
  • Work with confidential materials with minimal supervision
  • Perform ad-hoc duties as required.
  • Overtime may be required.

Where you'll be working...

In this hybrid role, you'll have a defined work location that includes work from home and assigned office days set by your manager. Location may be flexible however expectation will be to work MST/EST hours as needed.

What we’re looking for...

You'll need to have:

  • Bachelor’s degree or one or more years of work experience.
  • Executive administrative experience.
  • Experience supporting senior leaders.
  • Experience working with C-Level executives.
  • Knowledge of Google Suite and Microsoft Office suites.
  • Willingness to travel up to approximately 25% of the time.

If you are hired into a Colorado work location, the compensation range for this position is between $67,000 and $125,000 based on a full-time schedule. The salary will vary depending on your location and confirmed job-related skills and experience.  This is an incentive based position with the potential to earn more. For part-time roles, your compensation will be adjusted to reflect your hours.
